Who we are
Industria Machina, LLC provides equipment inspection and maintenance software. Contact mjl@industriamachina.ai about privacy, access, or deletion.
Information you provide
We process account identifiers, your name and email address, organization membership and permissions, and the equipment information, photos, documents, observations, inspection results, and action items you choose to submit. Organization administrators manage access to shared work.
How information is used
We use this information to authenticate users, synchronize inspections, manage equipment and work, generate reports, provide AI-assisted analysis and knowledge retrieval, and operate and secure the service. Relevant records are visible to authorized members of your organization.
AI processing and service providers
Inspection photos, observations, and relevant equipment information may be processed by OpenAI, Anthropic, and Voyage AI, depending on the configured analysis and retrieval services. Clerk provides account authentication. Hosting and storage providers operate our application and store submitted records. The iOS app asks for permission before uploading evidence for cloud AI processing. AI results are suggestions for human review, not a substitute for qualified inspection.
Camera, photos, and dictation
Camera and photo access lets you attach evidence you select. Native iOS dictation requires on-device speech recognition. It does not upload dictation audio; if local recognition is unavailable, you can type instead. Transcribed words become observations and are sent to the service when saved. This statement describes the app’s Dictate control, not third-party keyboards or other apps.
Device storage and security
The app stores authentication credentials using secure device storage, and keeps inspection drafts and cached media on your device so work can resume. Network requests use HTTPS. You can clear downloaded media in Settings. Protect devices and any reports you export or share.
Retention and account deletion
You can initiate account deletion in the app. Account access and profile information are removed when deletion completes. Shared equipment and inspection records remain with the organization, with the deleted account represented as Deleted User. Information you entered in free-form content or uploaded documents may require additional removal; contact us to request it. Backups, security records, and information subject to legal obligations may be retained as necessary. Previously exported copies are controlled by their recipients.
Your choices
You can decline camera, microphone, or photo permissions and use available manual entry options. You can decline cloud AI processing or withdraw permission in Settings. Contact us to request access, correction, or deletion of personal information. Organization administrators can help with shared business records.

We will update this policy when our practices change. The date above identifies this version.
